Privacy policy
How we collect, use and protect your personal information when you visit this website or get in touch with us. Last updated: 20 October 2026.
1. Who we are
This website is run by Watermelon Matrix. We are the “controller” of the personal information described in this policy, which means we decide how and why it is used.
Questions about this policy or your information: hello@watermelonmatrix.com or 07999333850.
2. What we collect
When you use our contact form
Your name, email address, organisation (optional), the type of project you need and your message.
When you request a free website audit
Your name, email address, company, phone number (optional), your website address, and your answers about your goals, platform, analytics, known issues and competitors.
Technical information
When you submit either form we record your IP address. It is included in the email we receive so we can spot abuse, and a scrambled (hashed) version is kept on our server for up to an hour to limit how many messages can be sent from one connection.
When you contact us directly
If you email, phone or message us on WhatsApp, we receive whatever details you share, such as your name, number and the content of your message.
3. How we use it, and our lawful basis
- To reply to your enquiry or prepare your audit — based on your consent (the tick-box on each form) and, where you are asking about our services, the steps needed before entering into a contract with you.
- To provide services if you become a client — necessary to perform our contract with you.
- To keep the website secure and prevent spam — our legitimate interest in protecting the site and our inbox.
- To keep business and accounting records — to meet our legal obligations.
We do not use your information for marketing lists, we do not sell it, and we do not make automated decisions about you.
4. Who we share it with
We only share your information with service providers who help us run the website and our email, and only as far as needed:
- Hostinger — hosts this website and our email, and delivers the site through its content delivery network.
- Google Fonts — our pages load fonts from Google, which means your browser sends your IP address to Google when a page loads.
- WhatsApp (Meta) — only if you choose to message us on WhatsApp.
We may also disclose information if the law requires it.
5. International transfers
Some of these providers may process information outside the UK. Where they do, the transfer is protected by UK adequacy regulations or appropriate safeguards such as the International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.
6. How long we keep it
- Enquiries and audit requests that don’t lead to a project: up to 24 months after our last contact, then deleted.
- Client records: for the length of the project and up to six years afterwards, as required for tax and accounting.
- Spam-protection data (hashed IP address): up to one hour.
7. Cookies and similar technologies
This website does not use cookies, analytics or advertising trackers. If you switch between light
and dark mode, your choice is saved in your browser’s local storage (under the name
wm-theme) so the site remembers it next time. It never leaves your device, and you can
clear it at any time in your browser settings.
8. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict or stop using your information, or object to how we use it;
- ask for your information in a portable format;
- withdraw your consent at any time (this doesn’t affect anything we did before you withdrew it).
To use any of these rights, email hello@watermelonmatrix.com. We will respond within one month. There is normally no charge.
9. How we protect it
The website is served over an encrypted (HTTPS) connection, form messages are sent to us using authenticated, encrypted email, and access to our accounts is restricted to the people who need it.
10. Links to other websites
Our portfolio links to client websites we have built. Those sites are run by their owners and have their own privacy policies; we are not responsible for how they handle your information.
11. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You can also complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint or 0303 123 1113.
12. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
